Gym management platform that reduced new member cancellation by 37%
The challenge
Gyms lose new members fast. Many walk in shy, with no experience, don’t know how to use the equipment, and are too embarrassed to ask. After 2-3 weeks, they stop showing up. The gym owner sees the cancellation at the end of the month and doesn’t understand why.
The number: up to 90% of new members cancel within the first 3 months. Money coming in the front door and leaving through the back.
The problem isn’t a lack of physical infrastructure. It’s a lack of digital support. The member doesn’t have an easy place to check their workout, understand how to do each exercise, track their progress, and feel like someone is paying attention to them.
The solution
I built a full gym management platform focused on solving new member dropout. This isn’t generic SaaS — each deployment is dedicated to a single gym network.
6 access levels, each with its own panel
Network Owner — Macro view of all locations: active members, inactive members, active units. Network and account management.
Unit Director — Operational management: unit members, reports, team management (trainers and nutritionists), renewals, workout templates, exercise library, news board, settings. Metrics for active members, drop-ins, departures, and new members this month.
Admin Area — Global platform content management: members, workout templates, renewals, exercise library, news board, marketplace, and settings. Central control that reflects changes for all users.
Personal Trainer — Manages their members, registers new ones, handles workout renewals, accesses workout templates and the exercise library.
Nutritionist — Manages member diets, food database with full macros (carbs, protein, fat, kcal), personalized nutrition protocols integrated with workouts.
Member (the heart of the system) — Dashboard with motivational quote, inactivity alert (“You haven’t worked out in 6 days. Time to get back!”), workout cycle progress (2/8 workouts), today’s workout with a “Start Workout” button, and access to: my workouts, challenges, exercises with video and execution tips, performance, schedule, news, diet, progress photos. Full physical assessments with history (weight, body fat, 15+ body region measurements, resting heart rate, blood pressure).
Exercise library
Each exercise has a demo video and detailed execution tips (scapula position, foot placement, range of motion). This solves the shy new member problem — they don’t need to ask the trainer how to do a bench press, they open the app and watch the video with the tips.
Internal marketplace
Products and supplements sold inside the app to increase each member’s LTV.
Smart notifications
Inactivity alerts, workout reminders, renewal notices. The system detects when a member stops working out and reaches out before the cancellation happens.

Why this case matters
Most gym systems handle financial management: billing, plans, due dates. FitPlan handles retention management. Financial management counts who left. Retention management prevents them from leaving.
The “You haven’t worked out in 6 days” alert seems simple. But it’s that kind of nudge that makes the difference between a member who comes back and one who cancels in silence.
